The protection of your personal data is important to us. In this Privacy Policy, we explain what personal data is processed when you use SurveyMate PRO and for what purposes.

SurveyMate PRO is Schneider Yacht Experts’ digital customer portal. The application supports the preparation, organization, execution, and follow-up of yacht surveys.

1. Data Controller

2. Purpose of the Application

SurveyMate PRO is designed specifically to

  • Provide user accounts for customers,

  • View and manage quotes and orders,

  • Coordinate dates and preparatory steps,

  • Provide checklists and document their completion,

  • to exchange order-related messages,

  • to provide or upload documents and expert reports,

  • to create structured customer checklists based on expert reports,

  • and to display the processing status of an order.

3. Processed Data

When using SurveyMate PRO, the following data in particular may be processed:

  • Name and contact information,

  • Company and billing information,

  • User account and login information,

  • Information about the yacht and the viewing request,

  • Quotes, prices, and order confirmations,

  • Schedule and availability information,

  • Checklists and their processing status,

  • News and communication content,

  • uploaded documents, images, and expert reports,

  • Technical access and security data.

Please submit only the data and documents that are necessary for the respective order.

4. Legal Basis

Data processing is generally carried out to take steps prior to entering into a contract or to fulfill the contract concluded with you.

Legal basis: Article 6(1)(b) of the GDPR.

To the extent that processing is necessary to comply with legal obligations, it is carried out on the basis of Article 6(1)(c) of the GDPR.

Technical log and security data are processed pursuant to Article 6(1)(f) of the GDPR. Our legitimate interest lies in ensuring the secure, stable, and abuse-free operation of the application.

In cases where processing is, exceptionally, based on your consent, Article 6(1)(a) of the GDPR applies. Consent may be withdrawn at any time with future effect.

5. User Account and Login

To set up and manage your user account, we process the following information in particular:

  • Name,

  • Email address,

  • Phone number,

  • Companies,

  • User ID,

  • technically protected password,

  • Date of registration and enrollment,

  • security-related credentials.

This processing is necessary so that you can log in and access the projects assigned to you.

Passwords are not stored in plain text.

6. Order and Project Management

Within SurveyMate PRO, we process order-related information, specifically:

  • Yacht name, manufacturer, model, and year built,

  • Mooring and sightseeing spot,

  • Project and Order Number,

  • Selected services,

  • Quotes and order confirmations,

  • Date information,

  • Project status,

  • Preparatory steps,

  • order-related documents and information.

The processing is necessary for the preparation, execution, and documentation of the respective order.

7. Checklists and Confirmations

SurveyMate PRO provides checklists for preparing for and following up on a yacht survey.

In particular, the following may be stored:

  • displayed checkpoints,

  • Processing status,

  • Time of confirmation,

  • User ID of the person providing confirmation,

  • additional comments or supporting evidence.

This information is intended to help you prepare the order in a structured manner and to document the confirmations you have provided.

8. Messaging Feature

You can use SurveyMate PRO to exchange order-related messages with Schneider Yacht Experts.

In particular, the following data is processed:

  • Sender and recipient,

  • Message content,

  • Time of transmission,

  • Assignment to the respective order,

  • any attached files,

  • delivery or read status, if applicable.

The information will be used to process your inquiries and fulfill the respective order.

9. Documents and Expert Opinions

Documents can be uploaded or shared via SurveyMate PRO. These may include, in particular:

  • Quotes and order confirmations,

  • Invoices,

  • Registration and ownership documents,

  • technical documents,

  • Maintenance and repair records,

  • Pictures,

  • Yacht Appraisals,

  • other order-related documents.

The documents are processed solely in connection with the respective order.

Please make sure that you are authorized to submit the documents. If possible, any unnecessary personal information should be removed or redacted before uploading.

10. Creating a checklist based on an expert report

SurveyMate PRO can perform a technical analysis of an uploaded inspection report and present its key findings in the form of a structured checklist.

In particular, the following may be processed:

  • Yacht Specifications,

  • technical findings,

  • Defects and damage,

  • Recommendations and necessary actions,

  • Image descriptions,

  • personal information, to the extent that it is included in the report.

The processing is intended solely to present the report in a clear and organized manner for the client.

The generated checklist does not replace the underlying expert report. The expert’s technical findings and assessments remain authoritative.

No decision is made solely by automated means that has legal or similarly significant consequences for an individual.

According to our settings, the content is not used to train generally available AI models. The documents are not stored separately on a permanent basis for training or advertising purposes.

11. Preliminary Feedback Following the Review

SurveyMate PRO can provide brief preliminary feedback immediately after the review.

This may include, for example, information on:

  • initial overall impression,

  • general condition,

  • Identifying potential major dealbreakers,

  • an immediate impression related to safety,

  • or exams that are still pending.

This feedback is intended solely as a preliminary guide. It does not replace either the detailed checklist or the final report.

12. Technical Operations by Base44

SurveyMate PRO is technically operated via the Base44 platform.

In particular, Base44 handles the following for SurveyMate PRO:

  • Hosting the application,

  • Databases and Data Storage,

  • Storage of uploaded files,

  • User Management and Authentication,

  • technical email distribution,

  • technical processing of the expert reports,

  • Platform security and operation.

Base44 generally processes the data as a data processor engaged by us. The processing is carried out in accordance with our instructions and based on a data processing agreement pursuant to Article 28 of the GDPR.

13. Storage Location and Transfers to Third Countries

The app data used by SurveyMate PRO is stored in a European data region provided by Base44.

However, as part of technical operations, there may still be limited access by Base44 or its subcontractors from countries outside the European Economic Area.

Such a transfer takes place only in compliance with Articles 44 et seq. of the GDPR, in particular on the basis of an adequacy decision, the EU-U.S. Data Privacy Framework, or the European Commission’s Standard Contractual Clauses.

14. Technical Access and Security Data

When using the application, technical data may be processed automatically, in particular:

  • IP address,

  • Date and time of access,

  • Browser and device information,

  • Operating system,

  • Session and authentication data,

  • functions called,

  • Technical error and security logs.

This data is required to securely provide the application, troubleshoot errors, and detect unauthorized access.

SurveyMate PRO does not use separate user tracking or any marketing or analytics tools to analyze user behavior.

15. Technically Necessary Cookies and Session Data

SurveyMate PRO uses only technically necessary cookies, session IDs, or similar technologies.

These are required, in particular, for:

  • the registration,

  • maintaining a secure session,

  • storing technical settings,

  • protection against unauthorized access.

Where applicable, this is done in accordance with Section 165(3) of the TKG 2021. The associated data processing is based on Article 6(1)(b) or (f) of the GDPR.

We do not use analytics, advertising, or marketing cookies.

16. Recipients of Personal Data

Personal data will be disclosed only to the extent necessary for the operation of SurveyMate PRO, the fulfillment of the order, or compliance with legal obligations.

Possible recipients include, in particular:

  • Base44 and its technical subcontractors,

  • employees and experts engaged by Schneider Yacht Experts,

  • technical maintenance and support service providers,

  • Tax advisors, legal advisors, and insurance companies,

  • Government agencies or courts, when required by law.

We do not sell personal data, nor do we make it available to third parties for their own advertising purposes.

17. Retention Period

We store personal data only for as long as is necessary to carry out and document the respective order or as required by statutory retention obligations.

In particular, the following criteria apply:

  • User account data is generally stored for as long as the user account remains active.

  • Order, contract, and invoice data are stored in accordance with the statutory retention periods.

  • Reports, checklists, confirmations, and messages may be retained for the duration of any potential warranty, liability, and statute of limitations claims.

  • Technical log data is stored only for as long as necessary to ensure security and troubleshoot issues.

  • Data that is no longer needed will be deleted or anonymized, unless there is a legal basis for its continued storage.

18. Data Security

We and our technical service provider take appropriate technical and organizational measures to protect personal data.

These include, in particular:

  • encrypted data transmission,

  • protected user accounts,

  • secure password storage,

  • role- and user-based access permissions,

  • Restricting data access to authorized individuals,

  • Technical security measures and data backups.

Base44 states that it uses encryption, built-in authentication, and access rules at the database level.

Despite appropriate security measures, data transmission over the Internet cannot be made completely risk-free.

19. Provision of Data

Certain personal data is required so that we can set up your user account and conduct the requested yacht survey.

Without this data, we may not be able to offer certain features or services.

Optional information is required only to the extent that it is necessary for the specific order.

20. Your Rights

In accordance with the statutory requirements, you have the following rights in particular:

  • Right to Information,

  • Right to rectification,

  • Right to erasure,

  • Right to restriction of processing,

  • Right to data portability,

  • Right to object to certain processing activities,

  • The right to revoke consent that has been given, with effect for the future.

21. Deletion of the User Account

You can request the deletion of your user account by sending an email to info [at] yacht-experts.com.

Deleting the account does not necessarily result in the immediate deletion of all order-related data. Data that is subject to statutory retention requirements or that is needed to assert or defend legal claims may continue to be stored for as long as necessary for these purposes.

22. Right to Appeal

You have the right to file a complaint with a data protection supervisory authority.

23. Changes to This Privacy Policy

We may update this Privacy Policy if there are changes to SurveyMate PRO’s features, the technical services we use, or legal requirements.

The version published in SurveyMate PRO or on our website at any given time shall apply. We will notify users of any material changes in an appropriate manner.
